Nomination Procedure

Please note that TPC would like to advise members that for State & National Events the nomination process is different - these nominations go to the Chief Instructor and then to the Zone Delegate, not through the nominations process.

When TPC holds an event, club members nominate direct to the Event Organiser, they do not have to nominate through the Nominations Secretary.

Entries and Nominations
If you are going to compete at an outside event there is a set procedure for entering. If this procedure is not followed you may find yourself not being allowed to compete. To avoid any confusion for our Nomination Secretary or for the organising club please follow the procedure outlined below.
(Note: this is for PCAQ events only – for EFA events you must enter yourself)
 
Procedure
Details of competitions are placed on the notice board at pony club as soon as they are received and posted on the website.
 
The closing date for nominations on the entry form is the date by which all entries must be received. The Tallebudgera Pony Club policy is to send all our nominations together, through the Nomination Secretary. Your nominations must be in the nomination box, located on the office door at the clubhouse, no less than four (4) working days before the close of entry on the program.
 
All entries must be accompanied by the full fee amount. This must be the correct money.
Your entry must include the following information: (use an envelope and write your details on the front and seal your cash or cheque inside)

  • your name
  • your horses name
  • your entry fee
  • your date of birth
  • the class you are entering
  • your pony club membership number
  • your horse’s registration number (Note: This can be found on your performance card)
  • Signed and dated
 
The nomination box is a sealed and locked box on the inside of the pony club's office door. This is a locked box so your money will be secure once posted into the box.Or you can post your nominations to:

If you are competing at an official event you are required to show your performance card when collecting your back numbers. The card will be held by unofficial until the competition is over, as if you place you will need your card filled and signed by an official for your points to count. This card is available from PCAQ, through the club secretary, for a small fee. A different card is required for each different type of event e.g. one for dressage and one for showjumping etc.
 
Timing of Nominations
Don’t be caught out - make sure you are prepared and on time with your entries. This will save much annoyance for everyone concerned. The nomination secretary will not call the host club and try to get you in after nominations have closed.
 
No late entries will be accepted
No telephone entries will be accepted
No email entries will be accepted
 
Please use correct money when paying for your nominations. Nominations secretaries cannot give you credit for an upcoming competition if you need change. If your money is not correct your nominations will not be accepted.
 
To ensure that all our entries get there on time, the Nomination Secretary will put a date at the top of the nomination form. This is the date by which all entries must be received - by the Nominations Secretary in the nominations box at the Tallebudgera Pony Club grounds.
 
Formal Uniform Requirements
When competing in official PCAQ events, it is compulsory for all members to wear the full formal uniform. Formal uniform requirements are set out in our handbook (see website) and include: fawn or beige jodhpurs (not banana or another colour), sky blue long sleeved shirt, blue v-necked vest and club tie.
 
The correct PCAQ Ruling 2008:
Pullover: Optional V-necked Pullovers - sleeved or sleeveless Vest - no collar. Stripes on pullovers/vests should only be on the V-neck or cuffs. No bands are permitted on the body of the garment. If club adopts a pullover/vest as part of the club uniform, it must be registered with PCAQ. (PCAQ, 2008)
 
Our vest is registered with PCAQ but vests/pullovers are usually only worn in winter. It has been verified with Jane Bell & PCAQ that although our club has a registered vest, our riders can ride without vest, if they so choose, they do not need permission from the host club. All rule books stipulate OPTIONAL. All parents / instructors / judges have a duty of care to the rider/child, when there are hot conditions, riders are recommended NOT to ride in a vest/pullover, due to heat stress, therefore they do not need permission from host club to remove vest. All PCAQ Clubs have an Official Uniform of Long sleeved shirt, fly away tie, jodhpurs, & boots - that is the official uniform. Not all clubs have a registered Vest/Pullover, hence the ruling below:
 
“PCAQ meeting from Aug 2008, no discrimination/elimination against riders who are not wearing vests.” 
 
The club tie and vest can be purchased from the club - see the Uniform Coordinators Sharon Elliott or Lisa McLoughlin email uniform@tallebudgeraponyclub.com for these on rally days. Please remember that you are representing Tallebudgera Pony Club when you compete at these events and you must present yourself in a tidy manner - both while competing and at the presentation ceremony e.g. shirt sleeves must be down and buttoned and shirts tucked in. If you are not in formal uniform at the presentation of awards the host club may decide not to give you your award.
